Guidelines, Procedures, and Forms

On this page graduate students, graduate faculty and staff can find the guidelines, procedures, and forms related to graduate studies in the Faculty of Science. These documents are divided into sections based on the journey of students through their degree.


General Guidelines

  • : This document outlines the responsibilities of students, faculty, staff and committees in relation to Graduate Studies in the Faculty of Science.

Admissions:

  • : Required to be completed by supervisors prior to admission of a graduate student.
  • : Required to be completed by a student in cases of self-funded students, as governed by the .

Progression:

  • : Graduate Students should complete this form every term to maintain their registration in their graduate program.
  • : Supervisors and Supervisory Committees should complete this form a minimum of twice per academic year throughout the registration of a graduate student.
  • : Students should complete this form if looking to apply for a leave of absence from their program.
  • : Students transferring between graduate programs, including MSc to PhD progression transfers should complete this form.
  • : Candidacy Examination Committees should complete this form after the completion of a PhD Candidacy Exam.

Coursework and Directed Studies:

  • : Students, in collaboration with their Supervisor and Supervisory Committee, should complete this form for approval of a directed studies course. This requires approval from the head of unit, the Graduate Studies Coordinator for Science and the Dean of Science.

Thesis Submission:

  • Approval for Graduate Thesis Defence Examination Form ( | ): Students should submit this form to their supervisors with their draft thesis for review by the Supervisory committee. Thesis defence and examination will only be scheduled after this form is completed.
  • : Students should review these procedures and plan their submission appropriately based on when they wish to graduate.
  • : Students should review this document regarding the formatting of their thesis document.  An updated version of this document is expected to be released 2025W.
  • : Members of Examination Committees including external examiners and examination chairs should reference this document when running a student thesis defence.

Thesis Defence:

  • : Thesis Examination Committees should complete this form after a student has undertaken their defence.
  • : Students should complete this form when they submit their final thesis.
